Terms & Conditions

These Terms & Conditions apply to bookings made with Afro Honeyguide Adventures through our website, direct communication, payment links, email, phone, WhatsApp, or an approved booking agent.

By confirming a booking, paying a deposit, paying in full, or travelling on a service arranged by Afro Honeyguide Adventures, you agree to these Terms & Conditions.

1. About Afro Honeyguide Adventures

Afro Honeyguide Adventures is a Victoria Falls-based tour operator offering accommodation bookings, transfers, day tours, multi-day safaris, and adventure experiences across Zimbabwe and nearby safari destinations.

In these Terms:

  • “Afro Honeyguide Adventures,” “we,” “us,” “our,” or “the Supplier” means Afro Honeyguide Adventures.
  • “Client,” “guest,” “traveller,” “you,” or “your” means the person making the booking, travelling, or receiving the service.
  • “Agent” means a travel agent, reseller, company, group coordinator, or representative booking on behalf of guests.
  • “Third-party supplier” means any lodge, hotel, activity provider, park authority, transfer company, airline, boat operator, or external service provider that is not directly operated by Afro Honeyguide Adventures.

2. Booking Confirmation

A booking is treated as confirmed when:

  1. Afro Honeyguide Adventures confirms availability; and
  2. The required deposit or full payment has been received; and
  3. The booking details have been acknowledged by Afro Honeyguide Adventures in writing.

Written confirmation may be provided by email, WhatsApp, invoice, booking form, or other accepted written communication.

3. Prices and Currency

All prices are quoted and payable in United States Dollars (USD) or the equivalent in ZAR, BWP, or EUR, where accepted by Afro Honeyguide Adventures.

Unless stated otherwise:

  • Prices are net and non-commissionable.
  • Visa fees are not included in the prices shown on rate sheets or quotations.
  • Park fees are quoted separately and must be paid by the Agent or Client.
  • Tours and transfers are based on a minimum of two guests unless stated otherwise.
  • Private vehicle or private boat services are charged according to the vehicle or boat capacity.
  • Prices may change without notice if operating costs rise beyond our control.

4. Payments

Payments for all bookings must be made before travelling.

Accepted payment methods may include:

  • Electronic transfer
  • Telegraphic transfer
  • Visa debit or credit card
  • Approved secure payment link
  • Other payment method confirmed by Afro Honeyguide Adventures in writing

For card payments, the Client or Agent may be required to complete an authorization form or use an approved secure payment process.

5. Deposit and Final Payment

Unless otherwise agreed in writing:

  • A minimum deposit of 25% is required upon confirmation of booking.
  • Full payment is required at least 30 days before travel.
  • If a booking is made within 30 days of travel, full payment may be required immediately.
  • Afro Honeyguide Adventures may decline to operate, release vouchers, or confirm final arrangements where payment has not been received on time.

6. Guest Collection and Pick-Up Areas

Unless stated otherwise, tours include collection of guests within the immediate vicinity of the various Victoria Falls hotels.

If you are unsure whether your hotel, lodge, guesthouse, or meeting point is within the standard collection area, please check with Afro Honeyguide Adventures before confirming your booking.

Additional transfer charges may apply for pick-ups outside the standard collection area.

7. Park Fees, Visa Fees, and External Costs

Park fees, conservation fees, visa fees, border fees, airport fees, government charges, and similar external costs are not included unless clearly stated in writing.

These costs may change without notice and remain the responsibility of the Client or Agent.

8. Supplier Cancellation, Weather, and Unforeseen Events

Afro Honeyguide Adventures reserves the right to cancel, reschedule, or amend a booked tour at any time due to:

  • Rain or unsafe weather
  • Closure by national parks or authorities
  • Road, river, or border restrictions
  • Safety concerns
  • Supplier failure or unavailability
  • Force majeure
  • Any other unforeseen event beyond our reasonable control

Where possible, Afro Honeyguide Adventures will assist with rescheduling, alternative arrangements, or refund handling according to the specific circumstances and the policies of any third-party suppliers involved.

9. Third-Party Activities and Services

Some activities, accommodation, transfers, boats, flights, park entries, or destination services may be operated by third-party suppliers.

Third-party services may have their own:

  • Booking rules
  • Cancellation policies
  • Refund timelines
  • Age restrictions
  • Safety requirements
  • Weather policies
  • Group rules

Where a third-party supplier policy applies, that supplier’s policy may override the standard Afro Honeyguide Adventures policy for that part of the booking.

Clients and Agents should always check the specific policy for third-party activities before confirming a booking.

10. Group Booking Policy

For group bookings, the following rules apply:

  • A guest list must be provided at least 4 weeks before the date of travel.
  • Tour leaders must be clearly indicated on the booking. If tour leaders are not indicated as such, they may be charged as travelling guests.
  • Children under 12 years and children under 2 years must be clearly indicated on the booking. If they are not indicated, they may be charged as adults.
  • Group bookings may be subject to supplier-specific cancellation rules, especially for accommodation, third-party activities, private vehicles, boats, or large groups.

11. Child Policy

As a general rule:

  • Children under 12 years are charged at half price.
  • Children under 2 years travel free of charge.

This general child policy may vary depending on the specific tour, activity, accommodation provider, park authority, transport provider, or third-party supplier.

Children must be declared at the time of booking, including their ages at the date of travel.

12. Cancellation Policy

All cancellations must be received and acknowledged in writing by Afro Honeyguide Adventures.

The following cancellation conditions apply unless a stricter third-party supplier policy applies:

Cancellation timing Cancellation charge
More than 30 days before date of travel No cancellation charge, except a 5% handling fee to cover bank and administration charges
Within 30 days before date of travel 20% cancellation fee
Within 14 days before date of travel 50% cancellation fee
Within 7 days before date of travel 75% cancellation fee
Within 24 hours of travel or no-show 100% cancellation fee

13. Illness and Reasonable Proof

If a Client falls ill and provides reasonable proof, the Client may be eligible for a 100% refund, subject to review and any third-party supplier restrictions that may apply.

Reasonable proof may include medical documentation or other written evidence requested by Afro Honeyguide Adventures.

14. Refunds and Bank Fees

Refunds may be offset against future bookings where agreed or where this is the most practical arrangement.

If the Agent or Client prefers a bank transfer refund, a bank transfer fee of US$50 is for the cost of the Agent or Client.

Refunds are only processed after:

  1. The cancellation has been received and acknowledged in writing; and
  2. The refund amount has been confirmed; and
  3. Any third-party supplier charges have been confirmed; and
  4. Correct refund details have been received.

Approved refunds are normally processed within 7 to 14 business days, although bank, card provider, international transfer, and third-party supplier timelines may affect when funds reflect.

15. Date Changes and Amendments

Requests to change travel dates, guest numbers, accommodation, routes, pick-up times, or activities must be made in writing.

Changes are subject to:

  • Availability
  • Price differences
  • Supplier approval
  • Park or government requirements
  • Seasonal rate changes
  • Additional administration or supplier fees

Afro Honeyguide Adventures will assist where possible but cannot guarantee that changes will be available.

16. Travel Documents, Visas, and Entry Requirements

Clients are responsible for ensuring that they have valid passports, visas, permits, vaccination documents, and any other documents required for travel.

Afro Honeyguide Adventures may assist with general travel guidance, but final responsibility for travel documents and entry requirements remains with the Client.

Visa fees are not included unless clearly stated in writing.

17. Travel Insurance

Clients are strongly advised to have comprehensive travel insurance covering:

  • Trip cancellation
  • Medical emergencies
  • Personal injury
  • Evacuation
  • Lost or delayed luggage
  • Travel delays
  • Supplier cancellations
  • Adventure activities where applicable

Afro Honeyguide Adventures is not responsible for losses that should reasonably be covered by travel insurance.

18. Health, Safety, and Guest Responsibility

Guests must follow safety instructions provided by Afro Honeyguide Adventures, guides, drivers, park authorities, lodges, activity providers, and third-party suppliers.

Afro Honeyguide Adventures may refuse participation where a guest:

  • Fails to follow safety instructions
  • Is intoxicated or disruptive
  • Poses a risk to themselves, staff, wildlife, property, or other guests
  • Fails to meet activity health or age requirements

No refund is guaranteed where participation is refused due to guest conduct or failure to meet requirements.

19. Wildlife, Adventure, and Safari Risk

Safari, wildlife, river, road, transfer, border, and adventure travel may involve risk.

By confirming a booking, guests acknowledge that travel in natural and adventure environments can be affected by weather, wildlife movement, road conditions, water levels, park decisions, and other operational realities.

Afro Honeyguide Adventures will take reasonable care in arranging services but cannot guarantee wildlife sightings, weather conditions, road conditions, border processing times, or exact travel outcomes.

20. Accuracy of Information

Afro Honeyguide Adventures aims to provide accurate information on tours, prices, inclusions, exclusions, dates, activities, and destinations.

However:

  • Prices may change if operating costs rise beyond our control.
  • Supplier information may change without notice.
  • Park fees, government charges, border fees, and third-party costs may change.
  • Website information may be updated from time to time.

The final confirmed quotation and written booking confirmation should be used as the active reference for each booking.

21. Non-Assignment

This agreement is non-assignable unless Afro Honeyguide Adventures gives written approval.

22. Termination of Agent Agreement

Afro Honeyguide Adventures reserves the right to terminate an agreement with an Agent by giving one month’s notice.

23. Governing Law

These Terms & Conditions shall have effect according to the laws of Zimbabwe.
